Set Up Conversation Observers

Overview

Conversation Observers can view a Remesh conversation without being able to make edits or moderate. Providing Observer access is a great way to engage stakeholders throughout a Remesh conversation and allow them to assist in brainstorming follow up questions. After following the instructions below, we recommend that you send Observers this document which outlines what they can expect.

Optional View Discussion Guide - When toggled on, Observers will be able to see the discussion guide on the left-hand side of the screen during the live conversation. It will look the same way that it does for the Moderator, but the Observer will not have any ability to moderate. This is a view-only permission.

Export Data
 - When toggled on, Observers will be able to download the exports that are available after the conversion has ended.

    Providing Observer Access

    You have two options for providing users observer access: domain-based access and a link-based access. Choose to grant observer access with just one, or combine the two and give some observers access via domain and some access via link.

    From the Live or Build tab, Click Share then Add Observers.

    Access by Domain
    This method allows you to provide access to all users who share a email domain. For example, if you allowed the email domain "remesh.org" anyone with that email domain will be permitted to access the Conversation as an observer after verifying their email.

    • Under Access Options select Domain restricted 
    • Enter the email domain of the Observer to permit (e.g. remesh.ai)
    • Adjust your Observer permissions
      1. View Discussion Guide will allow observers to see a preview of the programmed discussion guide.
      2. Export Data will allow observers to export data after the Conversation has ended.
    • Copy the Observer link and share it with your Observer. We recommend sharing this document as well, which outlines what they can expect while Observing a Remesh Conversation.

    Access with Link and Password
    This method allows you to provide observer access with a link and password. This method does not require a user to validate their email, and can mean a more seamless experience for observers.
    • Select Link and Password under Access Options.

    • You have the option to adjust your password, if you'd like to make it something easy for your observers to remember.
    • Adjust your Observer permissions
      1. View Discussion Guide will allow observers to see a preview of the programmed discussion guide.
      2. Export Data will allow observers to export data after the Conversation has ended.
    • Copy the Observer link and password and share it with your Observer. We recommend sharing this document as well, which outlines what they can expect while Observing a Remesh Conversation.

    These two methods can be used in combination, with some participants receiving a link that will require them to verify their email, and some receiving a link and password. All observers will see the same page upon arrival

    There is a maximum of 25 observers and moderators that can join a conversation at one time.

    Observer Experience

    Observers will access the conversation via the Observer link.

    The observer experience is available for mobile, desktop or laptop but is optimized for desktop or laptop.

    Domain Access

    Observers accessing an Observer link that has been set up with domain access will be asked to submit their email if this is their first time accessing Remesh. They will then receive an email with further instructions. Once they receive that email, they will be asked to create a password for security purposes. If an individual already has a Remesh account, they can log in with that information. From there, they will be able to access the Observer space.     Link and Password Access

    Coming March 23, 2026.

    Observers accessing an Observer link that has been set up with password access will simply be asked to input the password provided, then they will be taken to the Observer space. You can see a specific breakdown of the observer experience here.


    For Video Observers they will be able to see the Pre- and Post-Interview questions in a similar format to above, then they will need to join the Video Interview. As the moderator, you will receive a notification when they join and will need to permit them.

    Multi-Language Conversation Translations

    This feature is currently only available for our Live Conversations. Flex Multi-Language Conversations will not provide the option to translate for Flex Observers at this time.

    In multi-language Live conversations, Observers can choose view conversation content in any language that has been selected during Conversation set up. You can learn more about this process and what can be translated for Observers here!

    Troubleshooting

    • Observer says they have not received their email for a domain access link. Ask them to check their spam. If they still do not see the email, you may consider setting up a password link for them.
    • Observer says the password is not working. Confirm the observer is using the current password. If you recently changed the password, make sure the observer has the updated one. The old password will not work for new joins.
    • Observer sees "Conversation not found." This means the conversation does not exist or observer access has not been enabled. Verify that Link and Password access is toggled to Enabled in the Share Conversation modal.

    Frequently Asked Questions

    • What happens if I change the password while observers are connected?
      Existing observers remain in the session and are not affected. Only new join attempts require the updated password.
    • How many people can observe a conversation?
      There is a maximum of 25 observers and moderators that can join a conversation at one time. Observers will be able to join the live conversation on a first-come, first-serve basis until the maximum of 25 is reached. If the 25-person cap has been reached and an additional Observer/Collaborator tries to join a live conversation, they will receive a message saying that the conversation is at capacity and they won’t be able to join. After the conversation is over, there is no limit to the number of Observers/Collaborators that can access the session. Read more about Conversation Collaborators here!
    • I want to revoke access for all future observers, can I do that?
      Yes! Click share and navigate to the Observers tab. Remove all domains that have been added, then navigate to the Link and Password option in the dropdown and ensure the link and password access to disabled. Observers will no longer be able to access that Conversation.
    • Can observers join a Flex conversation?
      Yes! Observers can join a Flex conversation and see an overview of responses that have been submitted thus far. They will not be able to analyze using Segments until the Flex has stopped collecting responses.
    • When should I send Observers the link?
      You can send Observers the link at any time. We recommend asking Observers to access the link at least 24 hours ahead of the conversation so they can create their account if needed.
